How to share your data, results or projects

1. Share data


Once you have uploaded data, that data is only visible to you on the platform when you are logged-in under your username. To view your data, when logged-in go to the 'Datasets' tab and selecting 'My datasets' from the 'Show Datasets' dropdown.



Once you have logged-in you can check to see if any datasets have been shared with you by going to the 'Datasets' tab and selecting 'Shared datasets' from the 'Show Datasets' dropdown.


To share one of you datasets click on the '... More' box on the right side of the data description box, then click on 'Share...'



After clicking 'Share' click on 'Add user', then enter an email address NOTE: the email you share with must have an active Biosecurity Commons account. The share then will only be active once you first click the arrow on the right side of the email text box and then click on 'Save changes'



For each user you share your data with you can choose to remove the share, or you can click on the View button with the default setting allowing the users you have selected to view the data you have shared, but you can also enable the selected user to Delete the data if they choose to. NOTE: click on the feedback button on the right margin if something is not working or if there is additional functionality you would like to see.



2. Share results


Sharing results is fairly simple, first navigate to 'My results' from 'My dashboard'.



Select one of the listed results, keep in mind multiple species distribution results might be listed under one result and when you share a group of SDMs listed under one experiment they are all shared, you do not have the option to share the SDM results individually.



Note there are four different SDMs within this experiment result, and I can share all of them by selecting 'Share'



Just like when sharing datasets, you can click on the 'Add user' button, then enter an email address that is affiliated with another Biosecurity Commons' user account, hit the arrow on the right side of the email text box, and click the save changes button to finalise the share.



Once shared you can allow the person you shared with to delete the data using the view button then turning on the 'Delete' button, or you can remove the share by clicking on the trashcan.  Just be sure to click 'Save changes' to ensure your changed preferences are recorded. Select the 'Feedback' tab to let us know if something is not working or if there is additional functionality you would like to see added. NOTE: you can also rerun your experiment from this results view or download all the outputs data etc. 



Results shared with you will show the 'Shared with me' tag in your list of datasets, and the kind of experimental result is also listed.


3. Share projects


Sharing projects is also easy on the platform, but keep in mind anyone who you share a project with can make changes to the project that will overwrite the original shared version.  This is a great option if people want to work collaboratively on a shared project, but if you also want to trial different methods on your own you can save the shared project under a separate name and work on both the shared and the unshared version. If a project is shared with you and you want your own copy you can export the results to your results and then bring those results into a new project or you can download the results and upload them into a new project.  First navigate to 'My projects' from 'My dashboard'



To view projects shared with you simply click on the 'Shared With Me' tab, and select any of the listed projects to view and start editing the project.  Remember the changes you make will be made for everyone who shares access to the project.




Currently, you can only share projects you started, and you can only save projects as new projects with a new name if you created that project.  Click on the 'My Projects' tab to see the list of projects you can share or save under a new name.  NOTE: If you would like to see changes to the way projects are shared, please add comments or suggestions by hitting the "Feedback" tab on the right margin of the screen.




If you want to save one of your project's with a new name, simply click on the 'Save Project As New' text under the 'Manage' drop down button, and you will have a private version of the project that you can alter or experiment with as you like.



Give the project a new name and click 'Save' in the new pop-up window.



You can share a project you created selecting the 'Share Project' text from the "Manage" drop-down box.



Just like when sharing datasets, you can click on the 'Add user' button, then enter an email address that is affiliated with another Biosecurity Commons' user account, hit the arrow on the right side of the email text box, and click the save changes button to finalise the share.



Once shared you can allow the person you shared with to delete the data, or you can remove the share.  Just be sure to click 'Save changes' to ensure your changed preferences are recorded. Select the 'Feedback' tab to let us know if something is not working or if there is additional functionality you would like to see added.  



If you want to export results from one of the components of your project, you can select the 'Export to My Results' button. This will save your current results for one of the components of the project, i.e. 'Pest Establishment Likelihood', 'Abiotic Suitability', 'Tourists Pathway', etc. etc.



The results you have exported from a project show up on the lower left.



A copy of all those results is viewable in My results, and from there the result can be reran, shared or downloaded.



4. Other options


If you want some of your data to be publicly available for other users to access, please get in touch.  We require some metadata, specific formats, and information about license.  Once added anyone could search for and use the public data.  We can restrict downloads of publicly available data, but currently users would still be able to alter those data slightly and download them or if they were clever they could find other ways to access the data, but we could work toward making some data completely unavailable for download.  Please get in touch if you want more options available.


Currently if a data license is ambiguous we restrict the ability to download those data, note below how the 'Download' option is greyed out, and not working due to a lack of clarity around the WorldClim dataset's data license.



With sufficient resourcing we can also add analytical functionality to Biosecurity Commons. If you can imagine coding a solution we can with enough resourcing add that functionality to our point-and-click dashboards. Please get in touch if you have these kinds of requirements and we can provide a cost estimate if it is beyond our current resourcing.


We will actively be working over the next year to modify the platform so that it meets the maximum number of users needs. Please get in touch if you want to see changes to data sharing or anything else on the platform. As long as the team is working on the Commons we will be able to make recommended changes or provide a cost estimate if the requested changes are beyond governance priorities or team capacity.
